Capital College --- Backup guideline – CL-BAK-01

1.0 Purpose
To provide College faculty and staff with an overview of backup services offered by Instructional and Information Technologies (IIT).  Backup services provide for recovery of files from an automated tape library that may have been accidentally erased or for disaster recovery in the event of a system or disc failure. 

Departments and individuals are strongly encouraged to adopt their own system backup policies and procedures.  Short of having departmental or personal system backup services, an individual may purchase these services from the University’s Information Technology Services (ITS); the fees for ITS backup services are annual charges that are based on the amount of required storage space.  

IIT already subscribes to the ITS backup services tape library (Tivoli Storage Manager) for purposes of disaster recovery and pays these fees for IIT supported backups.  TSM backups are provided in the event of an extended campus evacuation (longer than one day) so that files may be recovered as described under the Scope below.

The policy here is developed for Penn State Harrisburg but the overall University Policy AD20 (Computer and Network Security) applies.

2.0 Scope
The College’s S and H drives, users My Documents and email folders are backed-up nightly.  TSM backups are performed daily.

3.0 Policy
The Capital College IIT backup services are limited to core College servers.  These servers are backed-up according to a cyclical schedule according to the following procedures:

• IIT's backup service must be requested by the user through a work order.
• Users must include their name, room number, computer name, and the name of any folders that would like IIT to add to the backup list. (Note: To find your computer name, right click on My Computer, go to Properties, and select the Computer Name tab. You should see your full computer name.)
• The user's computer must be left on every night and a software agent installed.  IIT installs the software agent for the user and the user need not be present.
• Faculty and staff are encouraged to store critical proposals, documentation, or administrative files on IIT's servers as described above.
• Complete server backups are completed weekly.
• Incremental backups are performed nightly
• Monthly backups are retained for a minimum period of one (1) year; files accidentally or purposely deleted longer than the retention period are permanently lost and not recoverable

 The backup philosophy relating to other than IIT managed servers and not supported by IIT is as follows:

• Faculty and staff are strongly encouraged to develop a backup strategy for their desktop and/or laptop computers.
• Faculty and staff have the option of purchasing backup space from ITS
• Faculty and staff have the option of procuring disk drive or tape backup systems that they or their departmental Technical Contacts may manage.

Any question as to the scope of addresses to be given unrestricted access can be directed to IIT.

4.0 Enforcement
IIT personnel will ensure that all College critical servers and departmental server managed by IIT are backed-up according to this policy.
